Personal information is information that is not publicly available and capable of being associated with an individual through one or more identifiers including, but not limited to, a social security number, a driver’s license number, state identification numbers, an account number, a debit or credit card number, a passport number, an alien registration number or a health insurance identification number.
We obtain personal information and/or social security numbers from our clients only if we need the information in connection with the representation of our clients. Employees are advised of the importance of maintaining privacy when dealing with a client’s personal information. J.H. Cohn LLP has established physical, electronic and procedural safeguards to prevent the unauthorized access of information by persons outside the firm. It is our policy to return to the client, shred or otherwise destroy documents containing an individual’s social security number if the need for that information is no longer necessary. We do, however, maintain copies of documents that contain personal information including social security numbers in accordance with legal and regulatory requirements and/or applicable professional standards or rules. Such materials may at some point in time be destroyed in accordance with our document retention policies.
We generally do not disclose social security numbers to a third party unless such disclosure is required pursuant to law, rules or regulations of regulatory bodies, or applicable professional standards or rules. If such disclosure is required, to the extent legally permissible, we notify our clients of our need to disclose the information and the reason for the disclosure in advance. However, on a limited basis and depending on the circumstances, we may share personal information including social security numbers with third-party service providers. It is our policy to secure confidentiality agreements with all third-party service providers to maintain the confidentiality of your information.
